Team Manager Duty Statement
Beginning each season
Prior to the start of each season the team manager should organise the team registration. This involves sending out the team registration link to all players listed on the team sheet provided by the Registrar to each of their team members, ensuring that they register online by the relevant cut off date. No player is allowed to take the court if they are unregistered with Greenvale Basketball Club.
Communication
A team list with all members’ details is provided by the Registrar so that the team manager can communicate information out to everyone in the team (e.g. codes of conduct, newsletters, fixtures, fixture changes, any Registrar correspondence). Changes to these details during the season should be passed on to the Club Registrar. Team managers (TMs) will be added to a group WhatsApp, which is for general information from the registrars.
Notify Club Registrar of any changes to the team (i.e. players no longer playing). Please note that any additions to the team must be coordinated through the Club Registrar.
Distribute club information to all parents / players. (e.g. codes of conduct, newsletters, fixtures, fixture changes, any Registrar correspondence).
A team manager who is going to be away for any extended period should organise another parent to substitute and notify the club registrar accordingly.
Liaise closely with coach and club registrar regarding composition of teams, grading issues etc.
Accidents should be reported within 24 hours (or as soon as possible). All players and coaches are covered by insurance when playing matches and during training sessions. This insurance is provided by Basketball Victoria via the BBA and is only available to registered players, coaches and team managers. Access to insurance claim forms is via the BBA stadium manager.
Forfeits
The team manager is to notify the Registrar as soon as possible if a team cannot attend a game. If the team cannot make a game or is a no-show, there are penalties imposed by the BBA. Note that a notified forfeit (being any time prior to the Friday before the game) is at a reduced fee.
Transfers
Any new player that has moved from another club within the Broadmeadows Basketball Association (BBA) must obtain a clearance before playing for the team. Clearances are initiated automatically when a new club member registers using the team link. Whilst it is the player’s responsibility to obtain the clearance, the team manager should ensure that the new player does not play until a clearance is granted and the online registration process is completed in full. Registrars can provide further clarification around clearances and must be informed prior to, and approve, any new player joining a team.
Payments
Collect weekly match payments from parents via the TeamPay app, where funds are distributed evenly amongst all team members and paid directly out of each player’s account each week. It is the responsibility of the team manager to manage the finances of the team and it is at the team’s discretion as to how the weekly game fees are managed. However, the club recommends that these fees are divided evenly between all team players each week, regardless if games are missed. Once a player has committed to the team for the season they are expected to be at each game and share in the team costs. If one or more players miss a game the burden of fees should not fall on the remainder of the players. There are of course exceptions such as long term injury and we recommend that in cases of prolonged absence the player is not charged for the weekly game fee.
It is recommended TMs complete and pay for the team sheet on Thursday, prior to the Saturday game via the TeamPay app, to allow time for payment issues to be sorted if they occur.
Scoring
Ensure that a scorer is available at each game. If required, set up a roster for parents. In most cases the coach’s family are not required to be included on the scoring roster.
Ensure that the correct players on the bench for each game are marked accordingly on the tablet for our team and double check opposition player attendance as well. If they are not marked, that game does not count as a qualifying game towards the finals for that player. Usually, a player must play in seven or more games in a season to qualify for the finals.
Ensure that the player’s singlet numbers correspond correctly to what is showing on the tablet. If not, this should be corrected on the spot (request referee support if unsure how to do this) and the Registrar is to be notified to correct the PlayHQ record.
Injuries
In the event that a player is injured during the season for an extended period, you can present a doctor’s certificate to the B.B.A. and request an exemption for missed games. This must be done at the time of the injury or as soon as possible, not later in the season, as the BBA have a cut-off date for receipt of certificates.
We recommend the team manager or coach has a first aid kit and ice pack is available at each game and training session.
Fill-ins
Where a team is short players for a game, fill-ins are possible but they cannot be from the same age group or older, and cannot be a player from another club. Fill-ins must be a registered player with Greenvale Basketball Club. It is the team manager’s responsibility to check with the Registrar when needing fill-ins as any breach of the rules can cost the team game points. Note that any one player can fill in for 2 games only, with details to be entered into the tablet before the commencement of a game, after which they will need to be officially registered. Refer to BBA guidelines for current rules on fill-ins.
Uniforms
Liaise with uniform co-ordinator for uniform needs. Any new singlet number ordered must be approved by either the Registrar or uniform co-ordinator.
Additional duties
Assist the coach as required.
Attend club meetings as required.
