The Greenvale Basketball Club Annual General Meeting will be held on Wednesday the 15th August, 2012, at 7:00pm, at the Greenvale Recreation Centre.
Some of you may know that some of the current Committee have been in their positions for quite a number of years now and would like to take a break, not to mention it would be great to great some new ideas running through the Committee.
With that in mind we are calling on parents and senior members (U19 Players) of the club to nominate for a position on the new Committee at this year’s AGM.
If you are interested in joining our Committee or taking on a supporting role, please send a small letter via email to me at Paul Byron (firstname.lastname@example.org) before AUG 5th 2012 stating the position you may be interested in.
There are 4 major and 3 general committee positions with all responsibilities spread around all 7 members. However, because of the size of our club (44 teams) we require more volunteers to take on supporting roles. I have listed below the official committee positions available for nomination and their roles/responsibilities as well as the other supporting roles we desperately need more assistance with;
President: Oversee club management and administration, hold the public officer position, ensure all requirements of the articles of association are adhered to, and chair club meetings. Club contact, attend Association Meetings.
Vice President: Perform president’s duties in their absence, attend club and Association meetings.
Secretary: Organization and notification of club meetings, take / prepare minutes for club meetings, handle club correspondence, keep club documents updated i.e. team managers manuals.
Treasurer: Manage club accounts, signatory for bank account, keep financial records, pay bills, manage petty cash account, maintain list of financial / un financial players, follow up un financial players, calculate budget and with committee set fee structure.
General Committee Member (three positions): Duties as required by committee. Organization of Uniforms, fundraising, Presentation Night, Trophies, Maintaining Grizzlies website.
3 x Club Registrars (These positions can be taken by non-Committee Members): Maintain current team / player listings, maintain club membership register, co-ordinate the formation of teams each season, organize the registration of teams with BBA, collect player registration cards from team managers and forward to BBA.
Uniform Shop: This role can be undertaken during the hour of your child’s training session. Stocktake and order uniforms as required
Registrars Assistant: We would love to have 1 assistant to the Girl’s Registrar and 2 Assistants for the Boys Registrar. This would involve making phone calls to players/teams at each change of season to set up new and existing teams and as required throughout the season.
Trophy Organiser: Ordering (including preparing the list supplied by our database) and liaising with trophy supplier once per year. Setting up trophies on Presentation day.
Maintaining Training Schedule: Phoning teams to arrange changes and re shuffling at each change of season.
Fundraising: Assistance with collating/distributing chocolates and collecting monies from teams. Other tasks as required.
Maintaining Website: Updating website with new home page stories. Updating finals results page. Ensuring all information is up to date. http://www.greenvalegrizzlies.org
Remember you don’t have to be a Committee member to be involved but we do need a minimum of 7 Committee members in order for the club to continue. Again I urge you to seriously consider a position and reply before Aug 5th. Please feel free to contact me if you have any questions.
